Below are listed some of the most frequently asked questions by users of CamTools. Click on any question to reveal the answer.

 

Using CamTools

I need to access a site but I can't see it in my list of Courses and Projects. What should I do?

  • Check first whether they are publicly joinable: click the Courses & Projects link in the top right corner, click the Joinable Courses and Projects tab and type the site's name in the Search box. If the site is there, click the green Join link to become a member.

  • If the site is not publicly joinable it means only the site administrator can make you a member of the site. Your first option would be to speak to your lecturer or Departmental Administrator to ask to be added to the relevant CamTools sites. You can also contact the CamTools Helpdesk so we can help you to find out contact details of the site administrator(s).

  • If you are looking for a site which supports a teaching course, please check the CamTools Teaching Sites list at http://www.camtools.admin.cam.ac.uk/course_list/ to find the site and contact details of the site administrator(s). If you can't find the site you need, contact our Helpdesk.

I can't access a survey I've been asked to complete. What should I do?

  • Surveys should be taken in Internet Explorer or Crome. If you are experiencing a constantly refreshing screen, you are probably taking a survey in Firefox; close the browser and use the link to a survey in Internet Explorer or Crome.

  • If you get an error message that you are not authorised to take the survey, please contact our Helpdesk.

The browser 'back' button won't work. Why not?

CamTools remembers every step you take when using a tool – the Back button will simply take you back a step. To return to the initial page of a tool click the Reset this tool link in the top right corner.

Are there any times when CamTools won't be available for use?

We carry out routine maintenance and upgrades on Tuesdays between 7:30am and 9:00am. If there is any scheduled downtime outside these hours we will announce it via the CamTools front page and the new CamTools mailing list. To join the CamTools mailing list, click here.

How do I search for material on a CamTools site?

To search, simply enter the words that you want to search for within the Search box (on the top right-hand side of every page) and press the Return / Enter key. Search will find documents within your CamTools site (including the text within Word documents, PDF files, Excel files, etc., and any associated metadata), as well as wiki pages, chat messages, announcements and emails in the Email Archive.

Search will not search the forums, syllabus, calendar, assignments or blog entries. Some tools (such as the Wiki and the Email Archive) allow you to search what's in that tool in a particular site. You'll see a search box when you navigate to that tool, and search there works the same as the main CamTools search - the only difference is that the only results returned will be for what's in that particular tool in that particular site.

I'm a 'Friend' and I'm having problems with CamTools (logging in, re-setting password, etc.).

Can students and lecturers be automatically registered on CamTools? If so, who gets registered automatically?

Lecturers cannot be automatically registered. The only students who are automatically registered are Part IA Natural Sciences students at the beginning of Michaelmas term.

I'm not getting any emails from CamTools. What should I do?

CamTools reads your email address from the University Lookup directory. If you have chosen to set Visibility for your Lookup details as 'Private', or if you haven't got an email address in Lookup, CamTools won't know how to email you. To get emails from CamTools:

  1. Go to http://www.lookup.cam.ac.uk
  2. Log in with your Raven ID and password
  3. Click on the 'Your Page' link to see your data
  4. Click the 'Edit' button
  5. Look in the 'Email address' section near the top, not the '@cam delivery address' section further down
  6. Check you have an email address in this section
  7. In the Visibility column, set the drop-down to either 'University' or 'World'. If it's 'Private' or 'Institution' it won't work.
  8. Click the 'Save' button at the bottom of the screen to save any changes

Creating and maintaining CamTools sites

I want to upload documents in the Files tool but I can only see a black screen. The browser I am using is Internet Explorer 10.

If you are experiencing problems with Internet Explorer 10, please use an alternative browser or use Internet Explorer 10 in 'Compatibility View'. Please ask your local IT support staff for guidance or follow the steps outlined on the Microsoft web site.

How do I get a new CamTools course or project site?

New CamTools sites are no longer being created. Please see the information on the CamTools home page for full details.

I can't see shortcuts to Announcements and/or Calendar on the Home page of my site. What should I do?

This can happen after you have added Chat Rooms or Forums tools. Please contact our Helpdesk, and we will fix it for you.

How can I limit access to some documents in the Resources on my site?

If you create groups on your site, you will have an option to make documents/folders available to selected groups only. You will find instructions how to create groups in the Tools Guide under Site Info tool at http://www.camtools.admin.cam.ac.uk/tools/site_info.html, and instructions how to limit access to documents/folders at http://www.camtools.admin.cam.ac.uk/tools/resources.html.

Do Cambridge University members have to be registered using their CRSid's if they don't usually use their Cambridge email?

Yes, all University members should be registered with their CRSid's, not the email address they usually use.

I want to add a Cambridge University member, but they don't have a CRSid. What should I do?

You will need to add them as a 'Friend' user.

How do I add non-Cambridge University people ('CamTools Friends') to my site?

Friends users are added by site maintainers in Site Info tool; please find the instructions on the Site Info tool webpage in Tools Guide and a video demonstration is available here.

I have added a CamTools Friend to my site, but their name appears with '[pending]' after it. Why?

CamTools Friends appear as 'pending' until they click on a link in the email that goes out to them when they were set up, and set their name and password.

I have added a Raven user to my site, but their name appears with '[no email]' after it. Why?

CamTools reads email addresses from the University Lookup directory. If a Raven user has chosen to set Visibility for their Lookup details as 'Private', or if they do not have an email address in listed the Lookup, CamTools won't know how to email them. To get emails from CamTools Raven users need to:

  1. Go to http://www.lookup.cam.ac.uk
  2. Log in with your Raven ID and password
  3. Click on the 'Your Page' link to see your data
  4. Click the 'Edit' button
  5. Look in the 'Email address' section near the top, not the '@cam delivery address' section further down
  6. Check you have an email address in this section
  7. In the Visibility column, set the drop-down to either 'University' or 'World'. If it's 'Private' or 'Institution' it won't work.
  8. Click the 'Save' button at the bottom of the screen to save any changes

I have had a number of 'Mail delivery failed' notifications following emails sent from my site. What should I do?

If a Raven user does not have an email address in the University's 'Lookup' service, CamTools will assume an email of "crsid@cam.ac.uk", which may not be correct, and so will generate a delivery failure. Users who have left Cambridge University will have had their CRSid cancelled. In these cases, the user should either be removed from your site, or removed and added again as a 'Friend' using a guest email address.

Some of my Raven site members have '[deregistered]' after their name in the the Site Info tool. Why?

These are former Raven users who have now left the University. You may want to remove people from your CamTools site when they leave Cambridge.

Can I add more tools to my site?

Site administrators can add most tools to their sites. You will need to contact the Helpdesk to add Advanced Tools.

  1. Select the Site Info tool in your site.
  2. Select the Edit Tools option at the top of the page. You will see the site Tools page.
  3. A full list of the tools available is shown, and you can select any of them for use on your site.
  4. Tick the box next to the tools you wish to add to your site.
  5. If you want to remove an existing tool, un-tick the box beside its name.
  6. When you have chosen the tools you want, click the Continue button or Cancel to stop the update process.
  7. You will now see a confirmation screen. Click Finish to confirm your choices or Back to go back and change the tools you want or Cancel to stop the update process.

Can I rename/reorder the tools on my site?

Site administrators can reorder and rename the tools in their course or project sites - but please remember that your students may be members of more than one course, and that it will be confusing for them if you move the tools around. We recommend moving the tools that are important to students towards the top of the list, and keeping the Site Info and Site Stats tools (if enabled) down at the bottom of the list.

  1. Select the Site Info tool in your site.
  2. Select the Page Order option at the top of the page.
  3. You will see a list of the tools currently in your course or project site. Drag and drop them into the order you want.
  4. Click the 'Edit page title' icon (pencil) to change the name of a tool.
  5. Click the 'Show page' icon (light bulb) to hide a tool from student or access members of your site.
  6. Click Save to save your changes.
